WhatsApp Automation Tools Compared: An Honest Guide

Every "best WhatsApp automation tools" article is written by a company that sells one. This one is too. ConvertChat is on the list below.

What you can actually automate on WhatsApp

The WhatsApp Business API opened up programmable messaging, but not everything you can automate is worth automating. The use cases that actually move revenue:

  • Broadcast campaigns. Sending approved template messages to opted-in contacts at scale: product launches, restock alerts, event invites. If you haven't read our primer on how broadcast tiers and limits work, start there.
  • Triggered messages. A new lead fills out a form, a cart is abandoned, an appointment is due. An event in your CRM fires a WhatsApp template automatically.
  • Chatbot flows. A customer replies to a broadcast and a bot answers FAQs, collects information, or routes to a human.
  • AI-powered conversations. Beyond decision-tree bots: an AI agent that understands context, qualifies leads, answers product questions, and books meetings without a human in the loop.
  • Team inbox and routing. Multiple agents handling inbound WhatsApp conversations with assignment rules, tags, and internal notes.

Not every tool covers all of these, which is why the comparison matters.

Unofficial automation tools (WhatsApp mods, bulk-sender browser extensions, grey-market APIs) violate WhatsApp's Terms of Service. Meta bans numbers permanently, often without warning. Every tool in this list uses the official WhatsApp Business API or Meta's Cloud API.

How we evaluated each tool

We used four criteria, weighted for B2B companies with existing contact lists who want revenue from those contacts.

  1. Official API access. Does the tool use Meta's official Cloud API or operate as a licensed BSP (Business Solution Provider)? Unofficial access means your number is at risk.
  2. Pricing transparency. Can you calculate your monthly cost in five minutes, or do you need a sales call? We list entry prices that include WhatsApp access.
  3. Setup effort. How much technical work is needed to get your first campaign sent? A developer-heavy tool is fine if you have developers. It's a problem if you don't.
  4. Who it's for. Every tool has a sweet spot. We name it.

Since April 2025, Meta has paused marketing template messages to US (+1) phone numbers. None of the tools below can override that. If your audience is US-based, WhatsApp marketing automation is not viable right now.

Tool-by-tool review

Manychat

Best for: E-commerce and DTC brands running Instagram + Messenger + WhatsApp together.

Manychat restructured pricing in March 2026. The free plan now covers 25 contacts and does not include WhatsApp. WhatsApp access starts on Pro at $29/mo for 2,500 contacts. The Business plan at $69/mo adds advanced features, and the AI add-on is an extra $29/mo.

Manychat's strength is its visual flow builder across multiple channels. If you're already running Instagram DM automation and want to add WhatsApp, it is the most natural fit. Contact-based pricing climbs at volume, though, and the free plan is no longer useful beyond testing. Wati

Best for: SMBs where WhatsApp is the primary customer channel.

Wati is WhatsApp-first. Growth plan at $49/mo ($39/mo annual), Pro at $99/mo ($79/mo annual), Business at $249/mo. No free plan, but there's a 7-day trial. Wati is an official BSP.

The platform combines a team inbox, broadcast tools, and a no-code bot builder. If WhatsApp is your main channel and you need a shared inbox for a small team, Wati is a strong pick. Growth caps you at 3 users, and Instagram integration only comes on Pro and above.

respond.io

Best for: Sales and support teams needing a true omnichannel inbox.

Starter at $79/mo (5 users), Growth at $159/mo (10 users, 1,000 monthly active contacts), Advanced at $279/mo. 7-day trial, no free plan. Meta conversation fees are passed through at cost.

respond.io connects WhatsApp, Instagram, Facebook Messenger, email, Telegram, and live chat into one inbox. It is the strongest option if your team handles conversations across multiple channels and needs unified routing. Broadcasts only unlock at $159/mo, though, and the monthly-active-contact pricing model penalizes large dormant lists.

Twilio WhatsApp API

Best for: Developer teams building custom WhatsApp integrations.

Pay-as-you-go, no monthly fee. Twilio charges $0.005 per message on top of Meta's per-message fees (which vary by country and message category).

Twilio gives you maximum programmability. You can build custom flows, deep CRM integrations, multi-step automations triggered by any event. The trade-off is that there is no inbox, no flow builder, and no broadcast UI, so you need developers and you are building from scratch. At scale, a pure BSP can be cheaper than Twilio's per-message markup on top of Meta's.

360dialog

Best for: Agencies and developers who want pure API access with zero message markup.

Regular plan at EUR 49/mo per number, Premium at EUR 99/mo, High Throughput at EUR 249/mo. No inbox, no bot layer. You bring your own application.

360dialog is a licensed BSP that gives you a clean API pipe with no message markup. If you're an agency building WhatsApp solutions for clients, or a dev team that wants to own the stack above the API, 360dialog keeps costs predictable.

Zapier + WhatsApp Business

Best for: Non-technical teams automating simple trigger-action workflows.

You need a paid Zapier plan (Professional from $19.99/mo) plus your own WABA (WhatsApp Business Account) and Meta's per-message fees. No additional WhatsApp platform cost.

Zapier's native WhatsApp integration can trigger on new messages, send templates, send media, and send freeform replies within the 24-hour service window. It cannot build branching chatbot conversations or provide a team inbox. If your need is "new CRM lead triggers a WhatsApp template," Zapier handles it without a dedicated WhatsApp platform.

ConvertChat

Which tool for which use case

Match the tool to the job. Most of these platforms overlap, but each has a clear sweet spot.

  • You run Instagram + WhatsApp for e-commerce. Manychat. Nothing else matches the cross-channel flow builder.
  • WhatsApp is your only channel and you're a small team. Wati. Purpose-built and affordable. You won't outgrow it quickly.

Do I need the WhatsApp Business API to automate messages?

Yes. The regular WhatsApp app and the free Business app don't support API integrations, template messages, or programmatic sending. Every tool in this list connects to the official Business API or Meta's Cloud API.

Can I use WhatsApp automation for marketing in the US?

Not right now. Meta paused marketing template messages to US (+1) numbers in April 2025 with no announced end date. Service and transactional messages still work, but outbound marketing campaigns are blocked.

What happens if I use an unofficial automation tool?

Meta bans the phone number, often permanently. Unofficial tools include WhatsApp mods (like GB WhatsApp), bulk-sender Chrome extensions, and services that use reverse-engineered APIs. The ban applies to the number itself, not just the tool, so you lose the number and all its conversation history.

How much does WhatsApp automation cost per message?

It depends on the tool and the message type. Meta charges per delivered template message, with rates that vary by country and category (since July 2025). Replies within the 24-hour service window are free on Meta's side until October 1, 2026, when Meta starts billing them per message too. On top of that, your automation platform charges a subscription, a per-message fee, or both. The comparison table above lists entry prices. Which tool is best for a company that has never used WhatsApp for business?

If you have technical resources, start with Wati or Manychat. Both have visual builders that don't require code.
